Sales orders: one big order, invoiced in parts

FundamentalsBy the alFatora team3 min readUpdated:

Large customers rarely take and pay for a whole order at once. They order for the season, then call off what they need. Without a record of the order, someone has to work out from old invoices what has been billed and what is still owed, and a mistake there means billing twice or not at all.

The case

A building-materials supplier in Jeddah agrees an order with a contractor: 500 bags of cement at SAR 18 and 10 tons of rebar at SAR 2,900. The contractor wants 200 bags this week.

OrderedInvoiced nowLeft
Cement (bags)500200300
Rebar (tons)10010
Value before VAT (SAR)38,0003,60034,400

The first invoice is SAR 3,600 + 540 VAT = SAR 4,140.

In alFatora, step by step

  1. Open Orders & deliveries and press New sales order. Choose the customer and add both lines at the agreed prices.
  2. Confirm the order. Its prices are now fixed, and a table on the order shows what is ordered, invoiced and left for every line.
  3. Press Create invoice. The invoice opens with what is left; set cement to 200 bags and leave the rebar for later.
  4. Issue the invoice. The order now shows 300 bags and 10 tons still to invoice.
  5. Repeat whenever the customer calls off more. A discount agreed as a fixed amount for the whole order is spread over its invoices, so it is never given twice.

What you gain

  • Every invoice uses the agreed price, whoever types it.
  • You always know, line by line, what is still to bill.
  • Sales, the warehouse and accounts look at the same order.

Before you start

Switch on sales orders once, in Sales settings, the last entry of the Sell menu.
