Delivery notes: deliver first, invoice what actually arrived

FundamentalsBy the alFatora team3 min readUpdated:

When goods leave in several trucks, the invoice must match what the customer actually received. Without a signed delivery record, disputes start: "we only got 150 bags, not 180". And deliveries that nobody invoices are money you never collect.

The case

A building-materials supplier delivers against a contractor's confirmed order. 300 bags of cement are left to deliver; today's truck carries 180.

In alFatora, step by step

  1. Open the confirmed order and press Create delivery note. Enter 180 bags; alFatora will not let you deliver more than is left.
  2. Add the carrier (driver or company) and the person receiving the goods, then press Save and confirm delivery.

The delivery note: what is delivered now, the carrier and the receiver.
  1. Print the delivery note for the driver. The receiver signs it on site.
  2. When the signed copy comes back, attach a photo or scan of it to the delivery note.
  3. Press Create invoice on the delivery note. The invoice carries exactly the 180 bags delivered. Issue it.

Once confirmed: upload the signed copy, and create the invoice from the note.

alFatora flags delivery notes that stay uninvoiced longer than the number of days you choose, so no delivery is forgotten.

What you gain

  • The invoice matches the signed delivery, so there is little left to dispute.
  • Proof of delivery is kept with the document, not in a drawer.
  • Uninvoiced deliveries are flagged before they become lost revenue.

Before you start

Switch on delivery notes once, in Sales settings, the last entry of the Sell menu, where you also set the number of days before an uninvoiced note is flagged.

Frequently asked questions
